Job Summary
Kutak Rock seeks a Legal Secretary in its Little Rock office. This position will provide executive administrative support to multiple attorneys in our corporate department, with emphasis on transactional, tax, estate planning, probate, and economic development matters. This position plays a vital role in the day-to-day operations of a high-volume corporate practice group, managing confidential communications, complex calendaring, client relationships, transactional documents, marketing and communications support, and general research assistance. The ideal candidate is a consummate professional with a strong sense of discretion, organization, efficiency, energy, and attention to detail.
This full-time (37.5 hours) position is in-office Monday - Friday.
Responsibilities
- Coordinate and manage an active calendar of meetings, client calls, internal briefings, and transaction closings; prioritize and resolve scheduling conflicts
- Coordinate preparation of initial and subsequent drafts of documents
- Proof and mark documents to ensure accuracy and adherence to firm format standards
- Monitor identified dockets and developments as identified by attorneys
- Copy, scan, and file various client documents
- Manage email correspondence and draft professional communications
- Create, organize, and maintain sets of files using electronic and physical file systems, ensuring document version control and secure recordkeeping
- Arrange travel, including flights, hotels, ground transportation, and detailed itineraries
- Coordinate monthly billing process and assist with attorney time entry, expense reimbursements, and invoice follow-ups
- Build strong rapport with clients, anticipate client needs, and uphold the firm's high standard of client service
- Handle highly sensitive and confidential information with the utmost discretion and professionalism
- Assist with and maintain attorney continuing legal education (CLE) records and bar association memberships
- Assist with other duties as assigned
QUALIFICATIONS: Skills and Abilities
- Ability to work under pressure of deadlines while managing multiple priorities with urgency and discretion
- Ability to prioritize, organize, and multitask with a keen attention to detail
- Excellent verbal and written communication skills
- Ability to handle documents and other information with confidentiality and discretion
- Excellent interpersonal skills with an aptitude to interface with attorneys, clients, staff, and firm visitors
- Proficiency in Microsoft Office products (Word, Excel, Outlook, PowerPoint); experience with legal billing and document management software (e.g., Intapp, NetDocuments) a plus
QUALIFICATIONS: Education and Experience
- High School degree or equivalent required; bachelor’s degree, comparable experience, or paralegal certification preferred
- Minimum of 3 years of experience supporting senior executive(s) or partner(s), preference given to corporate law firm experience with experience in tax, estate planning and probate matters preferred
- Arkansas Notary Public certification preferred
