Job Description


The Maintenance Manager serves as the final quality control authority for all maintenance work orders, ensuring accuracy, completeness, and compliance before closure. This role verifies proper work order creation, assignment, documentation, labor and parts charging, SRT alignment, and identification of all applicable warranty opportunities to prevent financial loss and ensure data integrity. Additionally, the Maintenance Manager coaches technicians and supervisors on documentation standards, identifies trends and recurring issues, and drives continuous process improvement across maintenance operations.

Responsibilitie

  • Review 100% of maintenance work orders prior to closure
  • Serve as the final quality control checkpoint for work order accuracy and compliance
  • Verify work orders are created by appropriate personnel and assigned to the correct technician, asset, location, and cost center
  • Ensure all required documentation sections are complete and accurate, including complaint, cause, and correction
  • Validate that work order narratives clearly reflect the full repair story
  • Confirm all parts and labor are accurately charged and tied to the correct asset and repair
  • Review labor hours against SRT standards and ensure deviations are properly justified
  • ⁠Identify all applicable warranty opportunities and ensure proper documentation for recovery
  • Prevent missed or misallocated warranty claims
  • Reject or return incomplete or inaccurate work orders to location supervisors for correction
  • Coach technicians and supervisors on documentation standards and best practices
  • Identify recurring trends, errors, and opportunities for process improvement

Knowledge, Skills, and Abilities

  • Strong understanding of fleet maintenance operations and repair processes
  • Working knowledge of work order systems, cost centers, and asset management
  • Familiarity with Standard Repair Time (SRT) guidelines
  • Knowledge of OEM, vendor, and parts warranty programs
  • High attention to detail with strong auditing and quality-control skills
  • Ability to analyze documentation for accuracy, completeness, and compliance
  • Strong written communication skills for reviewing and coaching on repair documentation
  • Ability to enforce standards consistently and fairly across locations
  • Strong organizational and time-management skills
  • Ability to identify trends and recommend corrective actions

Education/Experience

  • Bachelor’s degree in business manager, supply chain management or similar field required. 1 year of relevant experience may be substituted for each year of education required.
  • Technical school, vocational training, or equivalent hands-on experience in diesel, fleet, or automotive maintenance preferred.
  • 5+ years’ experience in inventory control, warranty administration, or practical maintenance experience required
  • Industry certifications (OEM, ASE, or equivalent) a plus but not required
  • Ongoing training or demonstrated commitment to professional development in maintenance systems or documentation standards preferred
