Job Description
JOB SUMMARY Kutak Rock LLP has an opening for a full time Legal Secretary in the litigation department of its Rogers, AR office. This position provides secretarial support to multiple attorneys while working cohesively with litigation department staff members. The ideal candidate for this position is an experienced legal support professional who enjoys working in a collegial and collaborative environment. This position is an in-office position, Monday - Friday. RESPONSIBILITIES- Prepare, assemble, coordinate and proofread documents, firm standard letters, correspondence, and memorandum to firm format standards, using internal programs for document revision, clean-up, and comparison
- Utilize the firm’s document management system and email integration management system for individual capacity and supported attorneys
- Generate, organize, copy, scan and maintain electronic and physical client files
- Accurately enter attorney time and expenses into the firm’s timekeeping software; manage accounting deadlines of same
- Answers telephones and handles client matters (when appropriate) through telephone and email
- Scan documents and send/receive via email for attorneys
- Maintain attorney calendars by scheduling appointments for court appearances, conferences and meetings, including receiving court notifications and scheduling docket matters
- File pleadings with the various courts, including online filing systems
- Arrange business itineraries by coordinating travel reservations
- Assist with and maintain attorney continuing legal education records and bar association memberships
- Assist with other duties as assigned
- Ability to organize large quantities of information
- Ability to work well under the pressures of deadlines and prioritize assignments
- Ability to thrive on challenges of fast-paced environment
- Ability to work both collaboratively as part of a team and independently or unsupervised
- Strong attention to detail
- Knowledge of legal terminology and procedures
- Excellent spelling, grammar, and proofreading skills
- Excellent organizational, written and verbal communication skills
- Ability to handle documents and other information with confidentiality and discretion
- Excellent interpersonal skills with an aptitude to interface with attorneys, clients, staff, and firm visitors
- Proficiency in Microsoft Office suite of products, especially Excel and PowerPoint
- High School diploma (or equivalent) required; college degree given preference
- Minimum of 2 years of legal support experience in a law firm required
- Litigation and trial preparation experience preferred
