Job Description
The position of Administrative Assistant III shall report directly to the Campus Operations Manager, and shall perform complex administrative duties in support of the Campus Operations Manager. Essential requirements of this position are: knowledge of basic accounting, procurement, and budgeting principles; the ability to work independently with limited supervision and excellent communication skills; and the ability to prioritize and work on several projects simultaneously. Experience in working with individuals from diverse backgrounds is preferred. Some occasional evening/overtime may be required.
Essential Duties and Responsibilities
Provides administrative support in the operations and projects of Campus Operations by maintaining calendars, scheduling appointments, setting up webinars and online meetings, making travel arrangements, preparing authorizations and reimbursements for travel, and coordinating meetings and special events for the department
Performs complex and confidential duties on behalf of the Campus Operations Manager relating to financial and personnel issues; oversees, coordinates, maintains, and processes sensitive documents including timesheets, budgets, procurement documents, travel reimbursements, and pay requisitions for Human Resources on behalf of Campus Operations.
Assists the Campus Operations Manager’s hiring efforts by providing support in scheduling interviews and tracking the progress of applications and other required documents in coordination with Human Resources.
Maintains departmental records and inventories. Prepares purchase requisitions as needed. Works with procurement specialists to coordinate and monitor procurement expenditures for the department.
Serves as an informational resource to internal and external contacts as required.
Provides detailed information requiring some interpretation of guidelines and policies for the department; researches and resolves questions, problems and complaints; assists in proofing and/or preparing correspondence for the department.
Researches and resolves issues and discrepancies with budgets; supports strategic planning and budgeting efforts.
Provides system-related functions including scheduled and special reports, correspondence and data-base management.
Perform any other related duties as required or assigned.
