About the Role

As a Proposal Coordinator, you’ll play a vital role in turning opportunities into secured projects by supporting our bid and proposal process from start to finish. You’ll be at the center of it all—coordinating between contractors, internal teams, and clients to ensure accurate, timely, and professional proposals. This is a great opportunity to combine your eye for detail, project coordination skills, and communication strengths in a high-impact, fast-moving role.

What You’ll Do

Bid Coordination and Communication

  • Assist with contractor inquiries and follow-ups to ensure timely, complete bids
  • Clearly communicate expectations and project requirements to external partners

Proposal Review and Assembly

  • Review bids for accuracy and completeness
  • Compile and submit professional proposal packages aligned with client and internal standards
  • Revise and update proposals based on feedback

System Entry and Document Management

  • Upload proposals and relevant documents into Salesforce and third-party systems
  • Maintain organized digital records, ensure data accuracy, and support document tracking

Cross-Team Collaboration

  • Act as the communication bridge between clients, vendors, and internal teams
  • Answer proposal-related questions and keep everyone aligned and informed

Compliance and Process Improvement

  • Ensure all submissions meet client requirements, internal policies, and industry regulations
  • Continuously evaluate workflows and offer ideas to improve speed, accuracy, and efficiency

What You’ll Bring

Required Qualifications

  • High school diploma or equivalent
  • One year of experience in construction, paving, or a related industry
  • Excellent communication, organization, and time management skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and Salesforce or similar CRM/proposal software
  • Ability to juggle multiple priorities and meet deadlines

Preferred Qualifications

  • Bachelor’s degree in business administration or related field
  • Two or more years of experience in construction or paving, especially in estimating or project coordination
  • Familiarity with contract documents, project phases, and paving methods

Special Requirements

  • Must pass a background check
  • Must pass a motor vehicle check

Work Conditions

  • Office environment with heating and air conditioning
  • Primarily seated, computer-based work
  • Occasional lifting up to 25 pounds

Job Type: Full-time

Pay: From $18.00 per hour

Expected hours: 40 per week
