Job Description

REPORTS TOVP of Finance and Accounting 

 

JOB QUALIFICATIONS:

EDUCATION: High school diploma or equivalent; additional coursework or certifications in business administration, accounting, or insurance preferred.

EXPERIENCE: Experience in utility, insurance, or administrative roles is beneficial. A combination of relevant education, training, and/or at least 1-3 years of related experience preferred.

JOB KNOWLEDGE & SKILLS: Strong organizational and time management skills with the ability to prioritize multiple tasks. Proficiency in Microsoft Office Suite. Excellent written and verbal communication skills; ability to interact professionally with members/customers, vendors, and coworkers.

 

MAJOR JOB TASKS:

  • Assist in preparing and processing work order closeouts in accordance with internal policies and accounting procedures.
  • Maintain and update records in the work order module to ensure data integrity and accessibility.
  • Research and compile information on company-involved incidents such as vehicle accidents, equipment damage, or third-party property damages.
  • Collect all relevant supporting documentation including reports, photos, witness statements, and estimates.
  • Prepare and distribute invoices for damages to company property by third parties.
  • Prepare and submit claims to insurance providers and track them through to resolution.
  • Communicate with insurance adjusters, members/customers, and third parties to ensure timely and accurate resolution of claims.
  • Monitor aging of property damage invoices. Ensure unpaid invoices are turned over to collections in a timely manner.
  • Responsible for annual fleet registration (tag) renewals and ensure proper placement of registration decals on applicable vehicles.
  • Assist with distribution of insurance cards to be placed in fleet vehicles.
  • Maintain/Administer fuel fobs for drivers of Company vehicles.

OTHER REQUIREMENTS:

  • This position requires strong attention to detail, organizational skills, and the ability to coordinate across departments to ensure compliance, proper documentation, and efficient workflow.

 

PHYSICAL REQUIREMENTS:

  • Physical Effort: Sitting at a desk with computer monitor will be the most continuous position. Occasional lifting and/or carrying of up to 15 pounds may be necessary.
