GENERAL DESCRIPTION OF POSITION

The Payroll Representative is responsible for calculating and processing payroll payments for new hires, transfers, and terminating employees. Processes salary changes, retroactive pay, timecard adjustments, direct deposit requests, and tax elections. They will work under supervision, but must be able to carry out tasks independently. They must make sure that employee wages are processed in a timely manner, so the ability to adhere to time constraints is essential. 

The Payroll Representative will communicate directly with employees, managers, and other departments within the company.  Strong communication skills are required. All payroll activity is required to have supporting documentation that meets internal and external audit requirements.  Therefore, strong record-keeping skills are required.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Set-up and process payroll payments for new hires. This duty is performed daily, about 10% of the time.
  2. Set-up and process payroll payments for transfers. This duty is performed daily, about 10% of the time.
  3. Set-up and process payroll payments for terminating employees. This duty is performed daily, about 15% of the time.
  4. Process timecard adjustments and corrections. This duty is performed daily, about 5% of the time.
  5. Process direct deposit and tax election changes. This duty is performed daily, about 15% of the time.
  6. Process salary changes, including calculating and issuing retroactive pay, as necessary. This duty is performed daily, about 5% of the time.
  7. Assist employees and managers with the Payroll and Human Resources Information System. This duty is performed daily, about 5% of the time.
  8. Respond to payroll related employee questions. This duty is performed daily, about 5% of the time.
  9. Assemble supporting documentation for all payroll entries in accordance with Internal and External Audit requirements. This duty is performed as needed, about 3% of the time.
  10. Assist with various audits, projects, reorganizations, acquisitions, and conversions. This duty is performed as needed, about 2% of the time.
  11. Must adhere to payroll processing deadlines. This duty is performed as needed, about 5% of the time.
  12. Review similar work processed by co-worker(s) for accuracy and compliance. This duty is performed as needed, about 5% of the time.
  13. The ability to work in a constant state of alertness and in a safe manner. This duty is performed as needed, about 5% of the time.
  14. Completes required BSA/AML training and other compliance training as assigned. This duty is performed annually, about 5% of the time.
  15. Respond promptly and accurately to employment verification requests. This duty is performed daily, about 5% of the time.
  16. Perform any other related duties as required or assigned.

QUALIFICATIONS

To perform this job successfully, an individual must be able to perform each essential duty mentioned satisfactorily.  The requirements listed below are representative of the knowledge, skill, and/or ability required.

EDUCATION AND EXPERIENCE

Broad knowledge of such fields as accounting, marketing, business administration, finance, etc. Equivalent to a four year college degree, plus 6 years related experience and/or training, or equivalent combination of education and experience.
