Responsibilities include timely and proactive purchasing, processing personnel documents, monitoring and restocking inventory, travel, leave records, budget tracking reports, reconciliations, and other office management tasks; creating and maintaining appropriate office files and records, creating and maintaining updated office procedure manuals, providing support for the Department Chair, professors, and adjunct faculty and direct supervision of student staff. This position is governed by state and federal laws, and agency/institution policy.Qualifications:
Required Education and/or Experience:
The formal education equivalent of a high school diploma; plus one year of specialized training in business management, business education, or a related field; plus three years of experience in specialized or a related field applicable to work performed. OTHER JOB-RELATED EDUCATION AND/OR EXPERIENCE MAY BE SUBSTITUTED FOR ALL OR PART OF THESE BASIC REQUIREMENTS.
Job Duties and Responsibilities:
Manage office needs in a punctual, timely and proactive manner;
Ensure office is organized, clean and welcoming as directed by the Chair;
Act as receptionist for the department in a friendly and welcoming manner to all stakeholders;
Assist faculty (full and part time) in fulfilling their duties;
Ensure department faculty and staff adhere to instructions, deadlines, procedures, and policies pertaining to the delivery of services;
Create and maintain an updated office procedures manual; Assist with the development or revision of policies, procedures and directives based on research findings;
Log, sort & distribute daily incoming mail/documents, check documents for completeness;
Request & follow-up to obtain missing documents and prepare and/or deliver outgoing mail;
Purchase and manage the inventory of office supplies, equipment, memberships, etc.;
Create new files, organize and well-maintain filing systems and manage file retention/destruction schedules;
Supervise the daily activities of student staff and evaluate their work performance;
Coordinate and maintain office schedules;
Notify department stakeholders of upcoming events;
Plan and execute department special events.
