Position Overview:

This position is supervisory and has direct reports. This position is responsible for the management of a team of Documentation Specialists responsible for the production/creation and quality control (QC) of collateral documents for SitusAMC clients.

Essential Job Functions:

+ Plan, develop, organize, implement, direct, and evaluate the organization’s document creation production functions and performance

+ Manage, evaluate, and resolve high priority and complex document creation issues

+ Communicates department effectiveness to business leadership on a regular basis

+ Establish weekly and monthly staff and department objectives, benchmarks, and goals

+ Track and monitor progress

+ Ensure adherence to procedural standards through regular performance and quality control (QC) reviews

+ Communicate client and company requirements using a structured, well documented approach

+ Ensure client (internal or external) deadlines are communicated and met

+ Work closely with clients (internal or external) to ensure their needs and expectations are met

+ Respond to internal or external client concerns, issues, and complaints. Proactively solicit their feedback

+ This position supervises and mentors’ others

+ Such other activities as may be assigned by your manager

Qualifications/ Requirements:

+ Bachelor’s degree in a related field required, or equivalent combination of experience and education

+ Two or more years’ experience managing projects preferred

+ Two or more years’ experience or expert level knowledge in reviewing, assessing, and curing mortgage collateral documents preferred

+ Some experience reviewing report and query results to identify issues with data and/or query components

+ Ability to gather, research, compare and analyze complex data and develop clear logical interpretation and application

+ Responsible for researching and solving loan or task level escalated issues and problems

+ Attention to detail resulting in accurate, clear, and professionally formatted reports and/or correspondence for both internal and external clients

+ Attention to detail in the review and data entry of information from documents

+ Ability to compose professional correspondence independently for internal or external clients

+ Superior verbal and written presentation skills for internal staff utilized in training and conducting meetings

+ Ability to conduct web-based research finding sites and information independently.

+ Proficient in Excel; intermediate to advanced skills including the use of lookups, pivot tables and basic formulas in manipulating large amounts of data

+ Proficient in Microsoft Office including the basic functionality of Excel, Word, and Outlook

+ Exercises good judgment with access to confidential internal employee data, confidential internal financial data, and with confidential borrower data (SSN)

+ Demonstrated customer service and interpersonal skills required for internal and external clients

+ Ability to take high level direction, formulate a plan to achieve the goals and execute the plan

+ Independently makes decisions that may affect a group or department and is held accountable for the results

+ Independently organizes, tracks, and prioritizes assigned work including managing internal and external requests effectively and within acceptable timelines

+ Self-motivated with the initiative to research, question, and apply information

+ Performs QC and review of others work

+ Motivates others towards completion of tasks and assignments

+ Assists with establishing long term goals

+ Responsible for a single work group or functional area

+ Analyze staffing levels and anticipates staffing needs

+ Responsible for associate issues, feedback, timecards, for the formal training of a team

+ Responsible for monitoring, reporting, and escalating the status of workflow timelines in adherence with internal and external service level requirements

+ Maintains a positive attitude

+ Demonstrates professional maturity, trustworthiness, integrity, and dependability

+ Ability to collaborate effectively and work as part of a team

+ Strong leadership skills

+ Ability to supervise employees

Special Requirements:

+ The employee may be required to report to a different local office as a normal, contemplated, and mandated incident of their employment

This position is available in all US Remote locations as detailed in SitusAMC’s Telecommuting policy.

This position is not available in the following states: AK, CA, CO, CT, HI, MA, WY
